Therefore, a successful candidate would be responsible for:

  • Maintain and update the overall project plan, milestones, and timelines:
    The PMO is responsible for keeping the project plan current, ensuring that all milestones and timelines are accurately reflected. This includes regular reviews and updates to accommodate any changes in project scope or schedule.
  • Track deliverables, dependencies, and risks across all project streams:
    The PMO monitors the progress of deliverables, identifies dependencies between tasks, and assesses risks that could impact the project. This involves maintaining a Risk Log and coordinating with project leads to mitigate identified risks.
  • Prepare and consolidate SteerCo and stakeholder reporting (e.g. RAG status, KPIs, decision logs):
    The PMO prepares comprehensive presentations and reports for the Steering Committee and other stakeholders, including RAG status updates, key performance indicators (KPIs), and decision logs. These reports provide a clear overview of project progress and facilitate informed decision-making.
  • Support resource planning and capacity tracking:
    The PMO assists in planning and tracking the allocation of resources, ensuring that the project has the necessary capacity to meet its objectives. This includes managing resource schedules, tracking utilization, and addressing any resource constraints.
  • Coordinate meetings, workshops, and documentation (e.g. agendas, minutes, follow-ups):
    The PMO organizes and coordinates project-related meetings and workshops, ensuring that agendas are prepared, minutes are recorded, and follow-up actions are tracked. This helps maintain clear communication and accountability within the project team.
  • Ensure adherence to project governance standards and templates:
    The PMO ensures that all project activities comply with established governance standards and templates. This includes maintaining documentation templates, enforcing governance protocols, and providing guidance on best practices.

  • Act as a central point of contact for project documentation and communication:
    The PMO serves as the central hub for all project documentation and communication, facilitating the flow of information between project stakeholders. This includes managing document repositories, ensuring version control, and addressing any communication gaps.
     

 

Requirements for success:

  • Master’s or Bachelor's degree in Business Administration, Human Resources or a related field.
  • Prior experience in HR project coordination or support roles is preferred.

  • Proficiency in MS Office Suite (PowerPoint, Excel, Word, Outlook).

  • Experience with project management tools (e.g. Jira, Asana, Monday, SharePoint).
  • Strong organizational, coordination and time management skills, with the ability to prioritize and communicate effectively.

  • The PMO must possess excellent organizational skills to manage multiple tasks and priorities effectively.

  • Coordination skills are essential to ensure that project activities are aligned and progressing smoothly.

  •  

    Ability to work independently and manage multiple priorities as well as the ability to work well in an international team environment and collaborate effectively. 
  • Familiarity with transformation programs and HR processes is beneficial.
