Main Responsibilities

Transport Administration

  • Record transport orders in the TEAMS tracking system and dedicated carrier files.

  • Maintain and update transport tracking information for all assigned carriers.

  • Record inspection reports and Jurcheck information in the tracking tools.

  • Monitor transport status and ensure timely follow-up of pending activities.

  • Perform weekly verification of transport orders and Jurcheck records.

Mailbox & Documentation Management

  • Process, sort, and manage requests received through the shared mailbox.

  • Archive transport documentation, including waybills, inspection reports, and related records.

  • Provide supporting documents to customers and the sales network upon request.

Invoicing Activities

  • Create transport invoicing requests.

  • Issue invoices related to return transports at the end of Long-Term Lease (LLD) contracts.

  • Check truck conditions upon return and generate damage invoicing requests when required.

  • Issue invoices related to truck damages identified at the end of LLD contracts.

  • Support credit note creation and re-invoicing activities when applicable.

Dispute Management

  • Handle Level I customer disputes independently.

  • Escalate Level II disputes to management when necessary.

  • Coordinate corrective actions, credit notes, and invoice adjustments.

Stakeholder Coordination

  • Follow up with the sales network regarding:

    • Trucks awaiting damage assessment

    • Pending transport updates

    • Missing documentation

  • Collaborate closely with carriers, customers, internal teams, and management to ensure smooth operations.


Required Qualifications

Experience

  • Entry-Level Position

  • Previous experience in administration, logistics support, transport operations, invoicing, customer service, or fleet management is considered an advantage.

Education

  • Administrative Certificate or equivalent qualification.

  • High school diploma required; further education in Business Administration, Logistics, or Economics is a plus.

Language Skills

  • French and English– Professional proficiency (written and spoken)

Technical Skills

  • Good knowledge of Microsoft Office applications, especially Excel and Outlook.

  • Experience with ERP systems such as SAP is an advantage.

  • Ability to work with shared databases, tracking tools, and reporting files.
